Our new terms will be in effect from 01 May 2026. This article summarises some of the key changes:
Cancellation Notice period
This will be increasing from 30 days to 90 days. This is to enable our team to more effectively plan for re-onboarding and training, particularly in the busy September period. We will remind you a month before that your notice period is coming up so you don't miss it.
Please note that this new three-month notice period will only apply to customers with subscription end dates after 15 August 2026. If your subscription ends before then, the 30-day notice period will apply to enable you to give notice.
Deactivation of inactive users
Whilst it is the responsibility of customers, as the data controller, to ensure that the right users are on the platform, we want to help you to do this by deactivating users we can clearly identify as invalid. These terms now instruct us, as the data processor, to remove inactive or invalid users from the platform.
In practice this means that we will periodically check for users who we don't believe should be on the platform any more and deactivate them. We will always notify you that we will be doing this, and deactivated users can be instantly re-activated with no data loss. Unless we are instructed otherwise, 6 months after deactivation we will anonymise these users, this is irreversible. Again, you will be notified in advance that we plan to do this.
How will we identify such users?
It will vary by your organisation type, but typically it will be one, or a combination, of:
- Inactivity: students who have never used the platform or have not used the platform for 12 months
- Onboarding status: students who are not in a class in this academic year or have not received an update for more than 12 months
- Year group: if we can clearly identify that students are in a year group not served by your school or organisation
We have recently improved our in-platform tooling to make it easier for customers to manage users, with the ability to add and deactivate both teachers and students now in-platform. Please keep an eye out for further updates via our newsletter.
Updated sub-processors list
We engage a number of sub-processors which handle personal data in order to provide our service. This ranges from databases to platforms to enable us to run our newsletter or generate usage reports. We will be engaging certain new sub-processors so have updated the list accordingly.
AI processing notice
We do not pass any Personally Identifiable Information (PII) through Large Language Models (LLMs). Where students submit work, for example through our Writing GENai tool, it is important they do not include PII. We have messaging in the platform to remind them of this, but it is the responsibility of the school, college or education provider to ensure that students do not include PII in submissions.
Clarity on what data we process
We have updated our Privacy Policy to make it clearer for all stakeholders, particularly teachers and guardians. In particular it is now clear that we only ever process special category data (in this case SEN status and ethnicity) on the express instruction of the school, college or educational provider.
We have also updated our Privacy Policy to make it clearer that data we hold as a data processor will be deleted six months after the end of a subscription. Data we hold as controller will be held for six years. Most user data, and almost all student data, we hold in our capacity as a processor. Please see the Privacy Policy for further detail.
Naming a lead contact
The terms now require customers to update us on their lead contact. This is particularly important so that notifications about user deactivations and the notice period are going to the right people.
